At the Pacific Association Track & Field Junior Olympics
Granada High School – Livermore, California
The meeting will take place on Saturday near the start of the 1500m right after the finish of the last 3000m run (at about 10:30).
We’ll set up our 2008 schedule and have the biddings for the September, October and November meets. The first meet we will do the bidding for will be the Pacific Association/Junior Olympic meets and go back from there. Anybody having ideas or suggestions to improve the program and increase the number of participants please bring them up. We will talk about once again renting a big tent with heaters for all of us to use at the Nationals. The Region 14/JOs will be in our Pacific Association area this year.
If your club is going to host a meet I suggest that you pick a few dates and verify those dates with a park before you bid for a date.
Our PA/JO meet will be on Sunday, November 16th.
The Region 14/JO meet (Bantams & Midgets) will be on Sunday, November 23rd.
The Region 14/JO meet (Youth, Intermediate & Young) will be on Sun., November 30th.
The National JOs will be near Richmond Virginia on Saturday, Dec. 13th.
The Nationals for next year (2009) will be in Reno, Nevada.

membership can start as early as Nov1 to renew and the latest by February
28, 2009.
Coaches would like to find
another program besides Club Manager. We gave them the pros of
having Club Manager which were: You can manage your club plus
enter in meets. A suggestion was made to take a survey of other meets
and see their programs and see if they are easier to use.
It was also mentioned that
there is a problem with officials coaching while their kids are on the
field a suggestion was made that they have someone to cover for them
while they watch their kids and then return to their post. It is not
a USATF rule to have coaches on the field but the discretion of the
meet director. It was also suggested that we create a coaches
box and or passes for coaches to be able to come on the field but that
suggestion was out voted. Rule 144 No coaches on the field.
If a team was to be able to
get 5 plus people to want to become officials they will come out to
what ever the area is and give the test to become a certified official.
Coaches also made the statement
that at some track meet their athletes misses some of their events,
we let them know that is the responsibility of the coach the parent
and the athlete.
Feedback on the binders was
done by the coaches plus additional information was given out to be
added to the binders.
No longer will we be deleting
athletes at the track meet to reduce prices.
Birth Certificate can go to
Tony or Hika until further arrangements has been made.
Volunteers hours for track
meet will be cut down Maria and Debra are working on how long and how
many people it will take to complete each job function.
ROTC group will help with the
PAC Track Meet.
Exhibition events can be held
at a track meet by the discretion of the meet director.
USATF cannot control what a
team does with their funds once they are disbursed to that team.
USATF cannot do anything about
a team that takes a spot and then compete AAU.
Going by the by laws alcomers
meets will not be hosted by our website there is a website that list
all the alcomers meets.
If a meet is geographically
close then voting will be held.

10/12/08 – Pilcher, Steel Win 2008 USA Masters 5 km Cross Country Championships
GREENSBORO, NC – Tamalpans Brian Pilcher and Karen Steele were victorious at USATF 5K XC Masters Championships held in Greensboro, NC on October 12. Brian Pilcher defeated a crowded field in the men’s 50-59 division (17:08) to win with an age-graded, 87.49 (2nd best age graded score in the meet).
Karen Steele conquered a large and competitive field with first place in the Women’s 50-54 age group at the Masters 5K championship. It took a 20:08 PR (0:17 below her previous best time) to win. Both came home from North Carolina sporting new USATF Gold Medals.

board member and job descriptions was defined by each board member alone
with any additional job functions that was added to the board members
job functions.
Additional job functions that
was added to board members job descriptions is as follows: Track
Chair and Field Chair will be responsible for making sure that they
have the equipment necessary for each station or assign people that
can get the necessary items or equipment. Vice Chair will also
be responsible for making sure that the volunteers know their roles
and making sure that the survey is sent out to the coaches and completed.
Maura spoke on the communications
sandwich boards. The cost for the sandwich boards are out of the
budget, she wants to make a proposal to take the funds for the sandwich
boards out of the general funds.
The board agrees to get all
new e-mail addresses that will be associated with each board members
job title. Ex: Joanne [email protected] these changes will be made by Maura.
Thomas Vincent is the new Web
Master.
On the website changes that
will be made is as followed: We are going to try to have it where
there will be one page to verify everything the new added links
are if you hit team roster you will be able to see if the athlete birth
certificate has been verified and who has had a background check done.
Per a phone conversation with
Maura and Irene, Maura stated that Irene agrees with the board for the
changes to be made by Tony Williams concerning the website and the process
that he is use to working with. Maura will forward the email of
the changes over to Irene who will then speak with Tony.

Maura Kent went over the agenda
for the 1st half of the meeting, explaining how to do an
Affinity Diagram. At that time each attendee submitted areas of
opportunity to the board for the Youth T&F competitions. Then a
break was called.

back to order the entire group reviewed the top areas of opportunities
to determine which 2-4 issues the group wants to work on and was broke
up into 4 groups to work on the 4 topics of concern.

Save your confirmation scoresheet emails! They are your proof of submittal
IMPORTANT NOTE: Your confirmation emails will be your proof of scoresheet submittal. Please keep these emails until the team scoring is posted. If you do NOT get a reply email back (within a few minutes) when you submit your sheet, then resubmit the scoresheet. If that fails, please send an email directly to the scorer . If your team is left off of the scoring, and you do NOT have a confirming email as proof, your team will not be scored.
PA/USATF has just added a web page that will allow team captains to quickly and easily email their team scoresheets to the proper PA/USATF scorer. Click the "Submit your Team ScoreSheet" link above to go to this page. This web page will allow you to select runners from the roster of USATF members who belong to your club, as well as adding any runners who have "pending" USATF numbers. Then you simply click on a button and the list of scorers will be emailed to the scorer, as well as emailed to you and whomever else on your team you would like to be copied on the email.
The advantages of this are several. First, if a runner doesn’t appear on your roster, you will know that you need to confirm that the runner has a pending USATF number. This may save some of the problems that occur when we cannot confirm a runner’s USATF membership. Also, you do not have to remember who to send the scoresheet email to – it will automatically be sent to whomever is doing the scoring for that race. And since the scoresheets will all be in the same standard format, there will be fewer questions on the part of PA/USATF about who was intended to score.
We strongly encourage you to use the new web page to submit your scoresheets. We also encourage you to give us any comments about problems or suggested improvements in the system. The cross country grand prix scorer is Tom Bernhard, and you can email him at [email protected].
